Administrative Assistant for Counseling and Psychological Services / Student Health, University City Campus Open to: Internal and External Applicants Full-Time or Part-Time Status: Full-Time, 12 months Staff Job Type: Hourly/Non-Exempt Position Summary or Faculty Qualifications
This position serves as the point person for all communication related to Counseling and Psychological Services and Student Health as the front desk staff person and first point of contact for students, faculty, and staff at the University City Campus. This person must possess the ability to multi-task and perform in a high-volume, fast-paced office environment with limited supervision. This is a full time 12-month position based at the University City Campus reporting directly to the Associate Director of Counseling and Psychological Services (CAPS) with a dotted line to the Clinical Director of Student Health.
Duties and Responsibilities:
Performs clerical duties (telephone, email, and in-person customer service, patient check in and scheduling, etc.) in support of front desk coverage, optimal patient flow/customer satisfaction and counseling, health, and psychiatric providers.
Monitors and responds to phone and email requests for CAPS and Student Health, scheduling first appointments and assisting in scheduling follow-ups and rescheduled appointments.
Monitors CAPS and Student Health schedules, responding to urgent calls and walk-ins by coordinating with clinical staff to get urgent case needs met.
Designs and implements bulletin board displays for relevant seasons or topical content, as well as updating office brochures or producing other related marketing material.
Oversees work study students in regard to data entry, design and decoration of entry bulletin boards, and other tasks as assigned for the CAPS and Student Health offices.
Assists with management of requests for outreach and education programming for the University community by coordinating and scheduling events for clinical staff and the Executive Director of Health and Well-being (e.g., stress management workshops for orientation classes or health-related workshops for first year students).
Monitors day-to-day office and patient care processes and identifies procedural issues related to the software applications and administrative management tools (e.g. Google and Microsoft tools, Titanium, Pyramed, Student Health Portal) and assists healthcare professionals, campus stakeholders and student clientele with problem resolution.
Provides customer care with regard to access to clinical services and assists in tracking of overall service utilization/outcomes data.
Provides cross coverage for CAPS and Student Health patient check-in, scheduling, and assisting with general clinic flow.
Assists with office management (e.g., monitoring and ordering supplies) and ensures equipment/technology is functioning.
Supports student health and immunization records upload and processing and associated communications as needed.
Coordinates with Hawk Hill CAPS and Student Health to increase flexibility and efficiency in scheduling client appointments.
Performs other related duties as required.
Assist with website management.
Act as a Data Security Steward to include:
Responsible for the accuracy, security and integrity of data within the area.
Create and maintain a secure office environment to protect all information resources within your purview.
Establish and enforce sound policies and procedures to manage the information resources assigned to you.
May delegate responsibility to the Data Security Officer in order to assist with the day-to-day management of information.
Serve in compliance with the University’s Data Stewardship Policy statement.
The person who holds this position has been classified as a Campus Security Authority under the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act)
Physical Requirements and/or Unusual Work Hours:
Must be able to sit for long periods.
Bachelor’s degree preferred in Human Services or related field, or equivalent years of office experience
Experience with general administrative duties
Experience managing confidential information
Awareness of impact of cultural issues and human diversity
Experience with clinical procedures conducted within healthcare organizations
Understanding of confidentiality and overall ethical propriety regarding protected health information and accompanying patient encounters
Additional Information: Hiring Range
21.97/hr to 23.62/hr
