Job Title: HQ Office Coordinator
Our Spaces team needs a Coordinator to assist employees locally in the Seattle Headquarters as well as partner with vendors. The work is customer-facing, detail-oriented, and operates in a fast paced, fluid, environment. This role would work closely with other teams within Slalom, with the opportunity to connect with multiple departments and those other markets around the globe to create processes that benefit all, so they have the best experience possible at Slalom HQ. The coordinator position provides progressively responsible experience preparing successful candidates with the skills and abilities required for more senior positions.

What You’ll Do:
Front Desk Support:
Act as a back-up for reception: greet guests, answer and transfer calls, building access, shipping requests, Broadsign Content for lobbies
Seattle Office Support:
Audit, and order office, kitchen, and restroom supplies for all Slalom floors
Complete walkthroughs of common spaces to keep them tidy
Account triage for Spaces team ticketing system and team invoices
Account Provisioning in Staples Business Advantage for the US and Canada
Manage basement storage inventory list; keep storage areas organized
Manage Specialty items in storage, yearly ordering and shipping
Work with the Front Desk Coordinator and Office Assistant on incoming and outgoing mail and packages
Other duties as assigned
Event and Program Support:
Act as lead for Global Services team for various events including team quarterlies and bonding events, Global Teams All Hands meetings, BOLT Retreat, and Holiday Party with responsibilities including activity/venue search, budget assistance, catering, meeting content, and onsite event support
Lead Global Services team birthday, anniversary, and milestone recognition and gifts
Send invitations and order/set up catering for Global Services events/meetings and training as directed by Operations Leadership
Meeting and event reservation coordination for local teams
Setting recurring meetings for Spaces and Global Resilience and Safety teams
Qualifications:
Available to work the following schedule:
Monday through Friday from 8 am to 5 pm
Some nights and weekends depending on event schedules
Bachelor’s degree or equivalent experience in a related field
1-3 years of experience in a corporate work environment
Advanced skills and experience in Microsoft Office
Ability to lift 25 pounds; ability to move 75 pounds on a cart
Customer Service experience
