Position : Lead Patient Registration Specialist
Description :
MPF Federal is seeking an experienced Lead Patient Registration Specialist who will be responsible for work on the front desk operations of the HPM Occupational Medical Services Clinic including supervising the Patient Registration Specialist team which is subject to a Collective Bargaining Agreement.
Responsibilities include but not limited to:
Greet all customers presenting for medical services and other HPM OMS appointments and answers questions as appropriate.
Instruct patients on the completion of intake forms, case histories and other documentation and ensures completion.
Properly secure all medical records and confidential information in accordance with established procedures.
Direct patients through appropriate services maintaining clinic flow.
Escort patients as they make their way through the testing process.
Maintain communications with the Clinic Flow Coordinator to provide necessary information for coordinator to make decisions regarding clinic activities.
Provide administrative support to providers and OMN’s.
Able to perform QA audits with HPM On Site Manager on all documents for accuracy and completion after services.
Enter data for completion of electronic Record of Visit (ROV).
Complete close-out paperwork as patients leave clinic.
Coordinate all aspects of customized foreign travel appointments communicating with multiple HPM OMS departments.
Prepare travel packages with appropriate medications, supplies and documents for travel to specific locations.
Coordinate with the HPM OMS Foreign Travel Program Manager to maintain inventory of special foreign travel materials.
Distribute ROV’s to appropriate contractor/personnel, including HPM OMS personnel.
Able to assist in creation and maintenance of a duplicate medical chart filing system at satellite facility.
Able to assist in creation and maintenance of DOE audited HRP chart system at the satellite facility.
Ensure patient confidentiality in compliance with HPM OMS Privacy Practices and HIPPA regulations.
Able to assist HPM Manager in auditing end of day ROV audit reports.
Maintain front desk organization and supply inventory for both facilities.
Answer multi-line telephone, responds to routine inquiries and route as needed, take messages.
Serve as liaison with medical schedulers in assisting customers for follow-up appointments and resolving appointment conflicts.
Perform daily close of business procedures for the front desk, which includes securing of all confidential information and facility close of business.
Assist the HPM OMS Facility Department with facility issues at the satellite location.
Lead peer training of new patient registration staff.
Assist HPM on site manager with input to training manuals with up-to-date policies and procedures for patient registration duties based on OMS clinic requirements.
Assist HPM on site manager with maintaining records of peer task specific competencies based on OMS clinic requirements.
Access RMIS (MSDS system) as requested by medical staff.
Activate 911 for emergency response.
Participate in site drills.
Adhere to and foster acceptable health and safety practices.
Schedules staff, tracks and approves leave requests in cooperation with client needs and Program Manager as appropriate
Determines and communicates schedules, process and performance needs and business needs with Client point of contact
Provides majority input to employee performance and disciplinary actions as front-line supervisor for patient registration staff, including delivering warnings and disciplinary actions using information from the client and contributing required supervisor feedback. Following the CBA and MPF processes as documented.
Interviews candidates, provides hiring recommendations and feedback for open positions and ensures new and transitioned employees are trained appropriately while giving constructive feedback and working with MPF Program Manager and HPM On-Site Managers.
Perform other related duties as assigned.
Qualifications
High school diploma or GED equivalent.
Three years’ experience in medical facility or healthcare setting
Minimum One year supervising staff in a health care setting preferred.
Excellent customer service skills.
Ability to effectively communicate both orally and in writing and maintain good interpersonal and organizational skills
Ability to function effectively and efficiently in a busy, multi-tasking environment.
Exceptional people skills.
Knowledge of relevant HOMS front desk computerized and manual systems.
Requires comprehensive knowledge of HSS and OMS.
Requires knowledge of administrative HRP processes.
Requires knowledge of RMIS (MSDS) system.
Knowledge of HOMS policies and procedures relevant to the front desk.
Ability to appropriately maintain private and confidential information according to HIPAA, HPM, and MPF Federal policies.
Acceptable work habits (i.e. all company policies).
Demonstrated ability to perform receptionist duties with proficiency and accuracy.
Demonstrated work history record showing evidence of appropriate use of attendance and time off.
Knowledge of BBP spill/clean-up process with proficiency and accuracy.

Physical demands: While performing the duties of this job, the employee may be required to walk, sit or stand for extended periods of time; reach with hands and arms; balance; stoop; talk or hear; have sufficient manual dexterity to operate a keyboard, calculator, telephone and other such office equipment as necessary; may occasionally move and/or lift up to 15 pounds. Specific visual abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: Work will mainly be performed at the HPM Occupational Medical Services Clinic and will involve frequent contact with other MPF Federal and HPM project employees, customers, clients, representatives and vendors; work may be stressful at times; interaction with others is frequent and may be interruptive; may occasionally work hours outside of typical work schedule to accommodate needs; opportunities for local travel may occur; the noise level in the work environment is usually minimal.
