Position Summary
Performs secretarial and clerical tasks essential to the functioning of the department and coordinates services from other departments. Tracks CRNA time for payroll purposes. Maintains accurate records for provider CEUs Enters or records data into the scheduling system for statistical purposes and maintains unit log books. Coordinates anesthesia billing with coding and billing departments.
Minimum Qualifications
Work Experience

One year of progressively responsible clerical experience required.
Previous healthcare experience preferred.


Associate’s of Bachelor’s degree preferred.

Job Specific Performance Standards
The duties listed below are a summary of the major essential functions of this position. The position may require other duties, both major and minor, that are not mentioned, and specific functions may change from time to time.

Answers incoming phone calls and greets visitors to department within a timely fashion. Determines nature of call/visit and provides appropriate response, guidance. Refers more complex issues appropriately. Takes messages and/or refers visitor/caller to appropriate person. Assists physicians with placing calls to offices, other surgeons, staff, etc.

Provides general information or services in compliance with department policy, organization practice and regulations within the scope of the position.

Maintains calendar appointments for Medical Director of Anesthesia and leader of CRNAs. Exercises independent judgment in accepting/declining commitments and in prioritizing requests.

Provides general clerical support to include distribution of materials, filing, faxing, and copying. Receives, opens and routes incoming correspondence noting priority, routes to responsible individuals assuring adequate and timely follow-up.

Makes travel arrangements, prepares itineraries and prepares and maintains expense reports.

Processes payroll for anesthesia group including managing TimePC daily for CRNA group. Reviews time keeping reports for accuracy and follows up as necessary.

Updates quality reports as needed. Works with staff to enter data in Excel spreadsheet to provide quality reports for management.

Works with the Human Resources Department in the maintenance and record keeping for CRNA licensure.

Coordinates with Medical Staff Office on provider credentialing.

Coordinates with coding/billing departments on timely submission of anesthesia billing.

Maintains quality metric information reports available for review (OR utilization, Late Cases, Delays, etc).

Maintains stock of assigned supplies and forms. Orders when necessary.

Maintains departmental filing system for department reports and personnel records.

Serves as primary point person for SRNAs from various teaching institutions and coordinates paperwork and onboarding with HR.

Accurately tracks and processes CRNA and MD Continuing Medical Education reimbursement.
