Maintains complete and accurate medical records. Provide medical records to individuals and agencies in accordance with federal and state laws and company policies. Pulls records, files records and medical releases, and conducts record maintenance. Assists in the day-to-day operations of the reception area. Greets patients; obtains and verifies patient demographics and updates the system accordingly; answers telephones and routes calls in accordance with policy and procedure.


Access, files, retrieves, organizes and maintains patient medical charts
Provides necessary medical records for members of the healthcare team
Reviews medical records for accuracy and completeness
Ensures that all required documents and releases are included in all patient charts
Maintains admission and discharge records
Processes release of information requests
Prepares routine correspondence
Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
Optimizes patients’ satisfaction, provider time, by scheduling appointments in person or by telephone.
Keeps patient appointments on schedule by notifying provider of patient’s arrival
Responds to patient concerns and questions in a calm and reassuring manner
Maintains patient accounts by obtaining, recording, and updating personal and insurance information.
Obtains revenue by recording and updating financial information; recording and collecting patient charges; controlling credit extended to patients; filing, collecting, and expediting third-party claims.
Responds to patients in distress with professional and respectful communication and directs patients to appropriate resources within Center for Family Guidance when necessary.
Protects patients’ rights by maintaining confidentiality of personal and financial information.
Maintains operations by following policies and procedures; reporting needed changes.
Contributes to team effort by accomplishing related results as needed.
Medical Office Receptionist Skills and Qualifications: Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Attention to Detail, Scheduling, Word Processing, Professionalism, Quality Focus

Process medication refills, medication prior-authorizations and letters for medical team.
All other duties as necessary.

High School Diploma
Minimum of 1 year experience in a medical facility, preferably at the front desk or in the medical insurance department. Experience in working with medical records is preferred.
Must have excellent oral and written communications skills.
Home office will be the West Deptford Outpatient Office. Schedule and office location is subject to change daily based on staffing demands.
Travel is a requirement for this position. Must have reliable transportation and ability to travel to all three outpatient offices.
