In support of YWCA SKS mission, the Volunteer Services Specialist is the primary point person for the organization’s volunteer, intern, and court appointed assignments. This position is responsible for the recruitment, screening, placement, and recognition of volunteers across the organization.
The Volunteer Services Specialist directly coordinates volunteer orientation and collaborates with YWCA Programs to support additional volunteer, intern, and associated placements. This position is also responsible several administrative functions to support YWCA’s volunteer programs. The
Volunteer Services Specialist is expected to consistently carry out the responsibilities of the position with a warm, professional, and highly customer-focused approach. Volunteer Program Outreach and Development

Handles placement, initial scheduling, volunteer relations, and related logistics for ongoing programs including multiple program locations and staff.
Collaborate with internal program staff and leaders to develop and market current and future volunteer opportunities.
Attend volunteer fairs and other volunteer recruitment events, both virtual and in-person. Mange all education program relationships: Tabling and Connections with colleges/universities.
Support the strategic planning activities related to the volunteer program including advanced planning for peak seasonal volunteer needs.
Host quarterly meetings with select program staff to ensure consistency and cross agency collaboration for volunteer programming.

Clerical and Systems Administration

Develops and updates YWCA’s volunteer recruitment materials in collaboration with Communication and Marketing to ensure brand integrity
Manage incoming volunteer profiles within the applicable system and database.
Initiates and completes background screening process for new volunteers and interns
Prepares, sends, and tracks completion of orientation packets. Maintain YWCA volunteer applications in applicable formats
Route onboarding paperwork and ensure storage, confidentiality, and record completion
Coordinate interviews or meetings with applicable program staff and volunteers
Track and obtain volunteer hours and reporting
Produce monthly volunteer activity status reports

Volunteer Intake and Engagement

Serves as the first point of contact for volunteers.
Acts as a point of contact for new volunteers/interns for any questions and concerns about YWCA’s volunteer program and experience
Ensures first day is successful and check-in with relevant parties
Host volunteer orientation for all new YWCA volunteers
Conducts all pre-screening and initial skill matching for proper volunteer placement
Keeps volunteers engaged if we do not have an immediate opportunity
Follows up with volunteers after commitment completed to ensure quality experience and acknowledgement
Supports volunteer appreciation activities in partnership with program staff throughout the year and specifically during National Volunteer Week in April
Monitors applicable volunteer system; responds to inquiries about volunteer and internship opportunities
Fields and returns phone calls about volunteer opportunities
Collaborates with recruiting team to ensure opportunities for conversions for volunteer to employee happen smoothly and effectively
Communicates with applicable program staff to ensure that each new volunteer and intern receives a smooth assignment hand-off

Event and Corporate Partnership

Serve as a partner and liaison with philanthropy team to support corporate volunteer opportunities
Serve as a key contributor and support for volunteer initiative events (schooldays, adopt-a-family, etc) in partnership with applicable teams and programs

Qualifications & Core Competencies:

Minimum two years related experience required
Knowledge of volunteer programs,
Ability to learn and utilize a donor management software system
Demonstrated excellence in relationship building and engagement
Ability to use good judgement, take initiative and make recommendations in resolving problems.
Strong technical and computer skills with Microsoft suite: outlook, excel

Physical Demands:

Continuously exchanges information through listening and talking with agency staff, volunteers, candidates, and individuals in the community
May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk and manipulate (lift, carry, move) light to medium weights of up to 20 pounds
Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information
May include sitting for long periods of time, driving a vehicle and working under challenging conditions. Will include working evenings and/or weekends occasionally

Hours, Rate & Benefits:

Hourly rate: $24.00+ per hour based on experience

Hours per week:40

FLSA Classification: Non-Exempt.

At the time of hire, employees may choose to voluntarily enroll in the Fidelity 403b Plan. Typically after two years of employment, employees are eligible to participate in the YWCA Retirement Fund.
